As a Senior Executive, Program Office, you will be responsible for the following duties:

  • Provide comprehensive administrative and secretarial support to the hospital planning team, including scheduling appointments, preparing reports, drafting correspondence, maintaining records and files, handling enquiries, booking meetings, and supporting departmental projects.

  • Perform a wide range of administrative duties to support the Project and Operations. Assisting with special projects, designing and producing documents, reports, and presentations, gathering information for meetings, and drafting correspondence for internal and external stakeholders.

  • Maintain accurate documentation of all project activities, such as tracking key milestones, and organizing records to aid reporting and communication.

  • Attend relevant meetings to remain updated and aligned with project timelines and deliverables.

  • Oversee staff onboarding and offboarding processes. Schedule and conduct onboarding sessions covering company policies, benefits, systems training, and workspace setup.

  • Manage department assets, including tracking inventory of supplies, electronics, furniture, and equipment. Coordinate ordering, shipping, installation, maintenance, and check-in/check-out procedures.

  • Support budget planning by compiling expense reports and forecasts, tracking departmental spending, processing invoices, and reconciling budget usage.

  • Prepare management reports, presentations, and dashboards for senior leadership and external stakeholders.

  • Maintain calendars for individuals and programs, including scheduling meetings, reserving rooms, coordinating catering, AV equipment, and other necessary resources.

  • Plan and coordinate meetings, workshops, and events related to hospital planning, involving both internal and external stakeholders to ensure smooth execution of planning activities.

  • Prepare and circulate meeting agendas, materials, minutes, and follow up on action items.

  • Organize and manage local and overseas study visits for the hospital planning team, including travel arrangements, budgeting, and preparation of pre- and post-trip reports.

  • Assist in coordinating project timelines to ensure all deadlines are met.

  • Develop project plans, timelines, and budgets.

  • Carry out any other tasks or duties as assigned

Requirements: 

  • Diploma or Bachelors in any discipline with at least 4-8 years working experience, preferably in a hospital setting.

  • Strong technical skills including a sound working knowledge of Microsoft Office and Adobe Acrobat to prepare, edit and manipulate text and data.

  • Proficient in technical tools, with solid working knowledge of Microsoft Office and Adobe Acrobat for preparing, editing, and managing text and data.

  • Ability to work independently and in a team and across teams with minimal supervision.
